That’s it. 2. **Let Pinok follow along.** Reminders and clear task signals help everyone see what’s waiting, due soon, or overdue — without another status meeting. 3. **Step in only when it matters.** See requests for your approval, replies from teammates, and work that needs a closer look in one clear place. When a hand-off goes unanswered, Pinok sends the person one reminder: on the morning of the reply-by day you picked, or after two work days if you didn’t pick one. Nothing else is sent on your behalf. ## Feature: Quick add URL: https://pinok.ai/features/quick-add/ Quick add is how tasks are created in Pinok: you type one sentence and press return. Words like “tomorrow”, “#autumn” and “@leo” become the date, the project and the person as you type, shown as chips you can tap to change. There is no form to fill in. ### How does quick add work? 1. **Tap +.** A bar rises over whatever you were looking at. Nothing dims behind it. On the web, press N. 2. **Type one sentence.** “Proof the brochure tomorrow #autumn @leo !” The chips show what was understood: Tomorrow, Autumn campaign, Leo, High. 3. **Press return.** The task is saved at once and opens; back on its list, the new row scrolls into view and lights up once. ### Details - **Dates.** today, tonight, tomorrow, next week, in 3 days, Friday, next Tuesday, “by Thursday”, “due Monday”. - **Repeats.** every day, every weekday, every 2 weeks, every Monday, daily, weekly, monthly, yearly. - **Project and person.** #name picks a project (#Website/Design a stage too), @name picks a person. A task for someone else starts in their hands, and you follow it. - **Priority.** ! on its own is High, !! is Urgent. Stuck to a word (“Call mom!”) it stays punctuation. - **Notes when you need them.** Add notes grows the bar into a card with formatted notes (bold, italic, lists) and photos or files. - **Not AI, on purpose.** The rules are simple and predictable, so the same sentence always means the same thing, and it works offline. ### Questions **Does quick add understand natural language?** It understands the words people use for dates (“tomorrow”, “Friday”, “in 3 days”), repeats (“every Monday”), #project, @person and ! or !! for priority. It is rule-based, not AI, so it is predictable and works offline. **Can I create a task for someone else?** Yes: add @name. The task starts with them, and you follow it automatically, so you see in Following how it is going. **How many taps does it take to add a task?** One tap on +, one sentence, and return. A date, a project and a person cost no extra taps. ## Feature: Hand off URL: https://pinok.ai/features/hand-off/ Hand off is how work moves between people in Pinok. The owner passes the next step to a teammate with a note and stays the owner. When the teammate replies, the task comes back to the owner by itself (“Leo replied — it can continue”), so nobody has to remember to follow up. ### How does hand off work? 1. **Hand it off with a note.** On the task, open the owner and choose Hand off: pick Leo and say what you need. The toast says “Handed off to Leo · you stay the owner”, with Undo. 2. **Add a reply-by day, if it matters.** Today, Tomorrow, In 2 days or a date, counted in your workspace’s work days: on a Friday, “tomorrow” means Monday. None is picked by default, so a plain hand-off costs no extra tap. 3. **Leo sees it in Needs you.** It lands at the top of his My tasks as “Alex handed it to you · reply by Mon”. He replies in the discussion or hands it back. 4. **It comes back by itself.** His reply clears the wait (“Leo replied — it can continue”) and the next step is yours again. If the day passes in silence, your Needs you shows “No reply from Leo yet” with Nudge, Take it back and Later. ### Details - **Hand off or give it away.** Hand off keeps you as the owner while someone else holds the next step. New owner gives the task away for good, with an optional “Ask for my OK when done”. - **One reminder, not a chase.** The person it waits on gets one reminder by themselves: on the morning of the reply-by day, or after 2 work days when there is no day. Nudge sends one more, at most once a day, never while they are away. - **Blocked, and unblocked by itself.** Mark a task blocked by another task or by something outside (“client reply · check Fri”). When that task is done, the owner hears “You can continue”; on the check day, the task comes back to Needs you. - **Wait on a reply.** Mention someone in a comment and turn on “Wait on Ivan’s reply”. The task waits on Ivan until he comments, then comes back. - **History you never write.** Every move is a quiet line in the discussion: “Alex handed it to Leo · reply by Thu”, “Leo handed it back”, “Mia gave it to you”. - **Other time zones, shown.** When a teammate’s clock differs from yours, the sheet shows “21:40 there · off hours”, so you know when an answer is realistic. ### Questions **How is a hand-off different from assigning a task?** Assigning changes who owns the task and leaves you to remember to check back. A hand-off in Pinok keeps you as the owner, gives the next step to someone else with a note, and returns the task to you when they reply. If you want to give a task away entirely, use New owner. **What happens if they don’t reply?** With a reply-by day, they get one reminder on the morning of that day; once it passes, your Needs you shows “No reply from Leo yet” with Nudge, Take it back and Later. Without a day, they get one reminder after 2 work days, and the task shows how long it has been waiting (“Waiting on Leo · 3d”) under Waiting in your My tasks. **Can I hand off to someone who is away?** Yes, but the sheet tells you (“Away until Oct 28”), and reminders and nudges wait until they are back. ## Feature: Following URL: https://pinok.ai/features/following/ Following is the Pinok tab for work you care about but someone else holds: tasks you gave to someone, made for someone, or chose to follow. It has no actions on purpose. Four numbers sit on top (overdue, stuck, due soon, on track), then the tasks, worst first. A task counts as stuck after 3 quiet work days. ### How does Following work? 1. **You follow automatically.** When you give a task to someone, create it for someone or are made its approver. Any other task you can open is one tap to follow. 2. **Four numbers say how it’s going.** Overdue, stuck, due soon, on track. A tap on a number shows only that group. 3. **Each row says why.** The owner’s face and name, then the reason: “Overdue 2d”, “Quiet for 4 days”, “Away until Monday”, and “Moved 2×” when the date keeps slipping. ### Details - **What “stuck” means.** Blocked by a task or something else; no movement for 3 work days; waiting on someone for 3 work days or past its reply-by day; or its owner is away until after its date. - **A fixed rule, not a setting.** Three quiet work days is the same for everyone. The only thing to set is the workspace’s work days (Monday to Friday by default). - **Watching, not acting.** There is no Remind button. Anything that needs your action, like an approval, is in Needs you instead, so Following stays a calm view. - **Hand-offs stay yours.** A task you hand off keeps you as its owner, so it waits in your My tasks under Waiting, and comes back to Needs you if its reply-by day passes. - **Away pauses the pressure.** While someone is away, quiet days don’t count against them and reminders wait. “Away until Oct 28” shows wherever their face does. - **A morning summary, not a stream.** New tasks, comments and changes on what you follow arrive once a day, in a morning summary on your phone (09:00 by default). What needs you comes at once. ### Questions **When does a task count as stuck?** When it is blocked by a task or something else, when nothing has happened on it for 3 work days, when it has waited on someone for 3 work days or past its reply-by day, or when its owner is away until after its date. **Can I change the 3 days?** No. It is a fixed rule so that “stuck” means the same thing to everyone. The workspace owner sets which days are work days, and Pinok counts only those. **Who can see what I follow?** Followers are visible on the task to people who can open it. Following a task never gives you access to a task you couldn’t open before. ## Feature: Needs you URL: https://pinok.ai/features/needs-you/ Needs you is the top of My tasks in Pinok: a deck of cards with everything that is waiting for your action, and nothing that isn’t. Each card says why in one short line (“Mia asks for your OK”) and carries its one action, so the next thing to do is always one tap away. ### How does Needs you work? 1. **Open the app, see the top card.** Needs you sits above everything else in My tasks, with its count. The card shown is the one to deal with now. 2. **Act in one tap.** Approve, Reply, Got it, Nudge: the card carries the right action for its reason. Reply opens the task with the keyboard already up. 3. **Or put it at the back.** Later moves the card to the back of the deck. It stays; it just isn’t first. “2 of 5” and the arrows let you look through the rest. ### Details - **Every reason in plain words.** “New · from Mia”, “Mia asked you”, “Waiting for your OK”, “Sent back by Leo”, “Ivan is waiting on you · 2d”, “Leo handed it to you · reply by Thu”, “No reply from Leo yet”, “Check: client reply”. - **Here, and only here.** What needs you is never repeated in Following or anywhere else, so there is one list to clear, not three. - **Then your day.** Under the deck: Today (overdue first; more than five reads “Full day”, never a block), Later, and Waiting for what you handed off or sent for an OK. - **Filters, not folders.** Overdue, This week, No date, Personal and Completed. Captured tasks without a date wait under No date; there is no separate inbox. - **Urgent first.** Priority is three words: None, High (!) and Urgent (!!). Urgent and high lead every section; there is nothing else to configure. - **Read is read everywhere.** Opening a task reads it in the bell too, and clearing the bell reads its tasks. The badge and the bell always agree. ### Questions **Is Needs you the same as notifications?** No. The bell lists what happened around you. Needs you lists what is waiting for you to act. They stay in step: dealing with a task in one clears it in the other. **Can I hide a card I can’t deal with now?** Tap Later. The card goes to the back of the deck and the next one comes up. Nothing is snoozed or lost. **Does Needs you work for personal tasks?** Personal tasks live in Today and Later like any other. Needs you is about other people: something given to you, a question, an approval, a hand-off. ## Feature: Approvals URL: https://pinok.ai/features/approvals/ Approvals in Pinok are one optional role on a task. When the owner checks the task off, it isn’t done yet: it goes to the approver as “Waiting for your OK”, who taps Approve or Request changes. A change request sends it back to the owner with a note. ### How do approvals work? 1. **Add an approver.** On the task, Approval: pick a person. Or give a task to a new owner and switch on “Ask for my OK when done”. 2. **The owner checks it off.** The checkbox sends it for the OK instead of closing it. The toast reads “Sent to Mia for OK · Undo”, and the checkbox wears a dashed ring while it waits. 3. **The approver decides.** It appears in their Needs you with Approve on the card. On the task, Approve and Request changes sit over the comment bar, so a question can still come first. ### Details - **Sent back, with a note.** Request changes returns the task to its owner as “Sent back by Mia”, with what to change. The history keeps “Mia sent it back with changes”. - **Approve from the notification.** On the iPhone and Android apps, the push for “asks for your OK” carries an Approve button: the same action as the card, on an unlocked phone. - **One approver, on purpose.** No multi-stage workflows to design. One person says OK; the history shows who and when. - **Fair by design.** Only the owner or creator chooses the approver, and someone who just took a task can’t make themselves its approver for a day. ### Questions **Who can approve a task?** Any member of the workspace can be a task’s approver. The task’s owner or creator chooses them; others can only clear it. **Can I approve from a notification?** Yes, on the iPhone and Android apps: the “asks for your OK” push has an Approve button, and a plain tap opens the task. On iPhone the phone must be unlocked first. **Do approvals cost extra?** No. Approvals are in every plan, Free included. They are part of the core of Pinok, not an add-on. ## Feature: Projects and people URL: https://pinok.ai/features/projects-and-roles/ In Pinok, a project is a name and the people working on it; its health (on track, at risk, behind) is worked out from the dates. Every task has three roles: one owner, an optional approver and any number of followers. People on a project are admins or members. ### How do projects and people work? 1. **Name it, say what it’s for.** New project: a name and a colour. Whoever creates it is its admin. No template to choose, no statuses to configure. 2. **Add people.** Invite by email, or pick from your contacts on a phone (they stay on the phone). Everyone’s face shows how much of their week is done. 3. **Read it at a glance.** A status pill from the dates and the progress, then the work. “Since you last looked” sums up what teammates did while you were away. ### Details - **One owner per task.** Every task has exactly one owner. The approver and followers are context, never a second owner. - **Admins and members.** Admins change the project and its people; members do everything with tasks and may leave. A project always keeps an admin. - **Stages, if it’s big.** An optional order of stages (Design → Build → Launch), each with how much is done. No columns, no dragging, no statuses to set up. - **Personal tasks stay private.** A task outside a project is visible only to its creator, owner, approver and followers. Nobody else sees or counts it. - **Subtasks, one level deep.** Each with its own owner and date. No nesting to manage, no checklists to keep in sync. - **Quiet projects ask once.** A project with no movement for a month asks its owner, in place: “Quiet for a month · Keep · Archive”. ### Questions **Are there boards, Gantt charts or custom fields?** No, on purpose. Pinok keeps one way of looking at work: lists that say who has the next step and what is stuck. If your team plans in boards or timelines, a tool like Trello or Asana will suit you better. **Who can see a personal task?** Only its creator, its owner, its approver and its followers. A personal task never shows up in anyone else’s counts. **How is project health worked out?** From the dates, by a fixed rule. Behind: the project is past its due date with work open, two or more tasks are overdue, or one is two days late. At risk: one task just went overdue. On track: everything else. It shows as a coloured pill, so nobody writes a status update. ## Left out on purpose - **Boards and columns.** Status follows what people do, so there is nothing to drag. - **Custom fields.** A task has a date, an owner, a project and a priority. That’s enough. - **Automations.** The rules are fixed and the same for everyone, so nobody maintains them. - **Templates.** Starting a project is a name, not a choice of template. - **Status reports.** Project health is worked out from the dates. - **Sprints, issues, epics.** Words for software teams; ours are for every kind of team. ## Pinok vs Asana URL: https://pinok.ai/compare/asana/ · Facts about Asana as of October 2026 How is Pinok different from Asana? Asana is a work management platform with many views (list, board, timeline, calendar), custom fields, rules, goals, portfolios and hundreds of integrations. Pinok is a phone-first task app for teams of 2–20 with one idea at its core: every task has one owner and moves from hand to hand with a note, then comes back. It has far fewer features, on purpose, and nothing to configure. Choose Asana if: - You plan with timelines or boards, or manage goals and portfolios across departments. - You rely on custom fields, forms, rules and automations. - You need integrations with the tools you already use, or an API. - You need enterprise administration and security controls. - You want native desktop apps for Mac and Windows. Choose Pinok if: - Your team has 2–20 people and keeping the tool up to date has become a job. - Work moves between people all day, and you are tired of chasing replies. - You want each person to see only what needs them, not a feed. - You want stuck work to surface on its own, without reports to build. - Your team lives on its phones and wants a native iPhone and Android app. | | Pinok | Asana | | --- | --- | --- | | Built for | Small teams of 2–20 people | Teams and companies of any size, including enterprises | | Core idea | One owner per task; work moves from hand to hand and comes back | Projects you view as lists, boards, timelines or calendars | | Setting up | Nothing to set up; work days are the only workspace setting | Templates, sections, custom fields and rules to choose | | Passing work on | Hand off with a note and an optional reply-by day; it returns when they reply | Reassign or comment; following up is up to you | | What needs me | Needs you: a deck of only what waits for your action, each with its one action | My tasks and an inbox of notifications | | Stuck work | Flagged automatically after 3 quiet work days, or when a reply-by day passes | Reports, dashboards and rules you build | | Approvals | An optional approver on any task: Approve or Request changes, also from the push | Approval tasks (approve, request changes, reject) | | Views | Lists, on purpose | List, board, timeline, calendar and more | | Custom fields and automations | No, on purpose | Yes | | Integrations | A calendar feed and imports; no API yet | Hundreds, plus an API | | Apps | iPhone, Android and the web | Web, Mac, Windows, iOS and Android | | AI | None, on purpose | AI features across the product | | Price | Free for up to 5 people; Team $8 per person a month, billed yearly | A free plan with limits; paid plans per user | What Asana does that Pinok doesn't: - Timelines, workload views, goals and portfolios for planning across teams. - Custom fields, forms, rules and automations. - Hundreds of integrations and a public API. - Desktop apps and a mature web app. - Enterprise administration, security and compliance options. - Reporting dashboards and AI features. - Imports and templates for many kinds of work. **Is Pinok a good Asana alternative for small teams?** If your team has 2–20 people and mostly needs to know who has the next step, what is waiting on whom and what is stuck, yes: that is all Pinok does, and it needs no setup. If you depend on timelines, portfolios, custom fields or integrations, stay with Asana or a tool built for that. **Can I import my Asana projects into Pinok?** Yes. On the web, the workspace owner or a project admin can import an Asana CSV export: projects, sections (as stages), tasks, subtasks, assignees by email, due dates and notes. Comments stay behind, and Undo import takes it all back in one step. **Does Pinok have timelines or Gantt charts?** No. Pinok shows work as lists that say who has the next step. Project health is worked out from the dates and shown as a pill (on track, at risk, behind). ## Pinok vs Todoist URL: https://pinok.ai/compare/todoist/ · Facts about Todoist as of October 2026 How is Pinok different from Todoist? Todoist is a personal-first task manager known for its natural-language quick add, with projects, labels, filters and shared projects for teams. Pinok shares the idea that a task is a sentence, and builds team hand-offs into the core: one owner per task, hand off with a note that comes back, Needs you for what waits on you, stuck work flagged automatically, and approvals. Choose Todoist if: - You mostly manage your own tasks. - You want apps on every device: desktop, watch, browser extensions and email. - You like labels, saved filters and four priority levels. - You want calendar layouts and integrations with your calendar and email. - You want a product with many years of polish and a large community. Choose Pinok if: - Work passes between people and you want it to come back without chasing. - You need someone’s OK before a task counts as done. - You want to see what is stuck across the team without asking. - You want team work to be the core of the app, not an add-on. | | Pinok | Todoist | | --- | --- | --- | | Built for | Small teams of 2–20; good alone too | Individuals first, plus teams | | Quick add | One sentence: dates, repeats, #project, @person and ! or !! for priority | Natural-language quick add with dates, projects, labels and priorities | | Passing work on | Hand off with a note; it returns when they reply | Assign tasks in shared projects; following up is up to you | | What needs me | Needs you on top of Today: only what waits for your action | Today and Upcoming views, plus notifications | | Stuck work | Flagged automatically after 3 quiet work days | Overdue tasks, and filters you set up | | Approvals | Built in: Approve or Request changes | No dedicated approval step | | Organizing | Projects, three priority levels, a few fixed filters | Projects, sections, labels, filters, priorities P1–P4 | | Views | Lists | List, board and calendar layouts | | Apps | iPhone, Android and the web | Web, Mac, Windows, Linux, iOS, Android, watches, browser extensions | | Integrations | A calendar feed and imports; no API yet | Many, including calendars and email | | Price | Free for up to 5 people; Team $8 per person a month, billed yearly | A free plan; paid Pro and Business plans | What Todoist does that Pinok doesn't: - Apps for desktop, watch, browser and email, on nearly every platform. - Labels, saved filters and four priority levels. - Calendar layouts and calendar integrations. - Templates for common projects. - Productivity stats and goals. - Many years of polish and a large community. **Is Pinok like Todoist for teams?** In spirit, partly: both keep tasks simple and let you create them in one sentence. The difference is the team: in Pinok every task has one owner, work is handed off with a note and comes back, and Needs you, Following and approvals are the core of the app. **Does Pinok understand dates in plain words like Todoist?** Yes, for the common cases: today, tomorrow, next week, in 3 days, weekdays, and repeats like “every Monday”. Todoist’s parser covers more; Pinok keeps a small set of rules so the result is always predictable. **Can I use Pinok on my own?** Yes. Alone it is a calm personal task app; personal tasks stay private until you share them. When you invite a teammate, hand-offs and Needs you start to matter. ## Pinok vs Trello URL: https://pinok.ai/compare/trello/ · Facts about Trello as of October 2026 How is Pinok different from Trello? Trello organizes work as cards on boards: lists you move cards across, with Power-Ups and automation added as needed. Pinok has no boards. Every task has one owner, moves from hand to hand with a note and comes back, and the app tells each person what needs them and what is stuck. Choose Trello if: - Your team thinks in stages and likes dragging cards across columns. - You want a visual board to share with clients or guests. - You want to extend the tool with Power-Ups and automations. - You want native desktop apps for Mac and Windows. Choose Pinok if: - Columns hide who has the next step; you want one owner per task. - Cards sit in “Doing” for weeks and nobody notices. - You want approvals without adding anything. - You want a calm phone app instead of a board on a small screen, and the same lists on the web. | | Pinok | Trello | | --- | --- | --- | | Built for | Small teams of 2–20 people | Anyone who likes visual boards | | Core idea | Tasks moving between people | Cards moving across lists on a board | | Who has it | Exactly one owner, plus an optional approver and followers | Any number of members on a card | | Passing work on | Hand off with a note; it comes back when they reply | Move the card or change its members | | Stuck work | Flagged automatically after 3 quiet work days | Due dates, plus automations and Power-Ups you set up | | Approvals | Built in | Through third-party Power-Ups | | Views | Lists | Boards; more views on paid plans | | Automation | Nothing to configure; the rules are fixed | Built-in automation you configure | | Apps | iPhone, Android and the web | Web, Mac, Windows, iOS and Android | | Price | Free for up to 5 people; Team $8 per person a month, billed yearly | A free plan with limits; paid plans per user | What Trello does that Pinok doesn't: - Visual boards with drag and drop. - Power-Ups that connect hundreds of tools. - Built-in automation. - Timeline, calendar, table and dashboard views on paid plans. - Guests and public boards. - Desktop apps and a mature web app. **Is there a task app without boards?** Yes. Pinok has no boards, columns or custom statuses: tasks are lists, and status follows what people do (handed off, waiting, sent for an OK, done). Todoist and Things are list-first too; Pinok is the one built around hand-offs between teammates. **Can I use Pinok like a Kanban board?** No. Instead of a column, each task says who has it and why it waits (“Waiting on Leo · 2d”). If you need a board, Trello is a good choice. **Does Pinok replace Trello for client work?** For a small team handing work back and forth, often yes: approvals and “blocked by client reply” cover most of what agencies use boards for. For a board you share publicly with a client, Trello is better. ## Pinok for agencies URL: https://pinok.ai/use-cases/agencies/ For a small agency, Pinok is where client work moves between designers, writers and account leads. Each task has one owner, a hand-off carries the note and comes back, client sign-off is an approval, and work waiting on the client is marked “Blocked by client reply” with a day to check. - **Sign-off built in.** Any task can need someone’s OK: Approve or Request changes, in one tap. - **Waiting on the client.** Blocked by something outside, with a check date. On that day it comes back to Needs you. - **Account leads see the risk.** Following shows what is overdue or stuck across every client, worst first. - **Freelancers and holidays.** Away pauses nudges and warns whoever hands work to someone who is out. **What is the best task app for a small agency?** It depends on how you work. If your projects need timelines, resourcing and client portals, a larger tool like Asana fits. If your team is under 20 people and the hard part is work passing between people and waiting on clients, Pinok is built for exactly that. **Can clients use it?** There is no separate guest role yet. You can invite a client to the workspace and add them only to their project, since project tasks are visible to that project’s members. Many agencies keep clients out and mark tasks “Blocked by client reply” instead. **Can we run several clients in one place?** Yes: one project per client or per job, each with its own people. A person can also belong to several workspaces, such as your agency’s and a client’s. ## Pinok for startups URL: https://pinok.ai/use-cases/startups/ For a startup of 2–20 people, Pinok replaces the status meeting. Each person opens Needs you to see what is theirs, founders open Following to see what is stuck, and anyone captures a task in one sentence from their phone. - **One owner per task.** No “we” tasks. Someone has it, and everyone can see who. - **Capture in a sentence.** “Renew the domain Friday #ops @sara !” from the phone, in the hallway. - **Stuck surfaces itself.** Three quiet work days and a task shows up as stuck. Nobody has to ask “any update?”. - **Private until shared.** Personal tasks stay yours; team work is visible to the people on it. **What is the best Asana alternative for a startup?** For a startup under 20 people that wants to know who has what and what is stuck without maintaining a system, Pinok is built for that, and it’s free for up to 5 people. If you need roadmaps, timelines and integrations, Asana, ClickUp or Linear (for engineering) will serve you better. **Is it good for engineering work?** For issue tracking with sprints and pull requests, a tool built for engineers like Linear is the better choice. Pinok covers the rest of the company’s work: ops, design, marketing, hiring, fundraising. **What happens when we grow past 20 people?** Pinok is built to work from 1 to 20+ people without a redesign. Teams much larger than that usually need the planning and reporting tools that bigger platforms offer. ## Pinok for studios URL: https://pinok.ai/use-cases/studios/ For a design or creative studio, Pinok keeps reviews moving. Work goes to an approver in one tap and comes back with “Request changes” and a note, photos and files sit on the task, and the ring around each face shows who is at capacity this week. - **Reviews in one tap.** Approve or Request changes from the card, the task or the push. - **Files where the work is.** Photos and files on the task and in comments: up to 25 MB a file, 5 MB a photo. - **Capacity at a glance.** Each face in a ring of how much of their week is done, and “Needs a look” for anyone whose week is full. - **Notes that read well.** Formatted notes with bold, italic and lists, written right on the phone. **What is a good project app for a small design studio?** One the whole studio will actually open. Pinok is built for small teams and focuses on reviews and hand-offs: approvals in one tap, files on the task, and nothing to configure. **How large can attachments be?** Up to 25 MB for a file and 5 MB for a photo (JPEG, PNG, WebP or HEIC). Files are stored privately and shown through short-lived links. **Can I review work on my phone?** Yes. Pinok is built for the phone first: photos open full screen, and Approve or Request changes sit right over the comment bar. ## Pricing URL: https://pinok.ai/pricing/ Free for up to 5 people and 3 active projects, with every feature; Team is $8 per person a month billed yearly ($10 billed monthly) with unlimited people and projects. We’ll tell you in the app and by email at least 30 days before paid plans start, and you can always stay on Free. **How will billing work?** Team is priced per person in the workspace: $8 a month billed yearly, or $10 billed monthly. You’ll pay only for people who have joined; invites are free until they’re accepted. There is no minimum number of seats, and someone added mid-term is charged only for the rest of it. **Is Free really free?** Yes, with every feature. A Free workspace holds up to 5 people, 3 active projects and 1 GB of files. Personal tasks are unlimited. **What happens when we reach a limit?** Nothing stops working. Once limits apply, you just can’t add a 6th person, a 4th active project or files past 1 GB until you archive a project, free up space or move to Team. You’ll be able to try Team free for 14 days without a card. **What happens if we cancel, or a trial ends?** Your workspace goes back to Free. Nothing is deleted or locked. If you’re over the Free limits, everything that’s there keeps working, but you can’t add more until you’re under them. **Can we cancel any time?** Yes. When billing opens, a monthly plan will end at the end of its month and a yearly plan at the end of its year. The billing and refund terms will say exactly how refunds work before anyone is charged. **Do you offer discounts for nonprofits or schools?** Yes: 50% off Team when billing opens. Write to us through the contact form from your organisation’s address. **Can I take my data with me?** Always, on every plan. Export a project as a spreadsheet (CSV) or as JSON, or download the whole workspace as a backup (the workspace owner). Your content is yours. **Which currency? Is VAT included?** Prices are in US dollars. When billing opens, VAT or sales tax will be added at checkout where it applies, and businesses will be able to add a VAT ID. **Can I pay in the iPhone or Android app?** No. When billing opens, you’ll subscribe on the web, and the apps unlock Team as soon as it’s active. **Do you have an enterprise plan?** No. Pinok is built for teams of 2–20. If you’re much bigger, write to us and tell us what you need. ## Frequently asked **What is Pinok?** Pinok is a simple team task manager for small teams. Assign work, pass along the next step, and keep track of what needs attention — without setting up a complicated project management system. **How does Pinok keep tasks moving?** It brings together task ownership, hand-offs, deadlines, reminders, and views that highlight overdue or quiet work. When someone hasn’t answered a hand-off, they get one reminder: on the morning of its reply-by day, or after two work days. You can see what needs you and what you’re following without asking for constant status updates. **Will Pinok complete tasks automatically?** No. Your teammates do the work. Pinok helps everyone stay clear on the next step and makes follow-ups easier. **Do I need to set up boards or workflows?** No. You can start with a task. Pinok is intentionally simple, with no custom boards or status systems to build. **Can I use it for my own tasks, too?** Yes. Personal and shared tasks live in the same app, and private tasks stay private until you share them with the right people. **Is Pinok available on iPhone and Android?** Pinok runs on iPhone and Android, and the same workspace opens in a web browser on your computer. **How much does it cost?** Free for small teams: up to 5 people and 3 active projects, with every feature. Team is $8 per person a month billed yearly, or $10 billed monthly. While we launch, every workspace gets Team free, and we’ll tell you at least 30 days before paid plans start. **Does Pinok use AI?** No. Pinok uses straightforward task rules and clear reminders to help work move along, so the experience stays simple and predictable.
